By applying for and using the UNCOVER Madeira Island Membership Card (“the Card”), you agree to the following Terms & Conditions.
The Card is your personal proof of membership. It gives you access to activities, events, and services organized by UNCOVER Madeira Island, as well as benefits from our official partners.
Please read these Terms & Conditions carefully. They define your rights and responsibilities as a cardholder and explain the limits of what the Card provides.
Section 1: Eligibility & Purpose
Purpose of the Card
The UNCOVER Madeira Island Membership Card (“the Card”) serves as proof of membership and grants access to all activities, events, and services organized by UNCOVER Madeira Island, as well as benefits offered by official partners.Personal and Non-Transferable
The Card is strictly personal and may only be used by the registered cardholder. It is valid only with the cardholder’s photo and accurate personal information. Misuse of the Card, including lending, altering, or using it for unauthorized purposes, may result in termination of membership.Validity Period
The Card is valid for 12 months from the date of issuance.Eligibility Criteria
The Card is available to the following groups:International mobility students (Erasmus+ or similar programs) participating in programs in Madeira Island.
Full-degree international students enrolled in higher education institutions in Madeira Island.
Trainees and interns participating in recognized mobility programs in Madeira Island.
Volunteers involved in recognized international and European programs in Madeira Island.
Other categories as defined by the organization.
Applicants must provide valid documents proving their status.
Membership Fee
Membership requires payment of a non-refundable fee. The fee may be updated in the future for new members at the discretion of UNCOVER Madeira Island.Replacement & Administrative Fee
In the event of loss, theft, or damage, members may request a replacement Card by paying an administrative fee, which may be updated in the future for new members.
Section 2: Application & Registration
Application Method
Applications for the UNCOVER Madeira Island Membership Card (“the Card”) must be submitted online. There is no specific deadline for submission.Required Information & Documents
Applicants must provide all personal information requested by UNCOVER Madeira Island, which may include, but is not limited to:Full Name
Date of Birth
Nationality
Phone
Email
Applicants must submit the following documents to prove eligibility:
Acceptance letter (for mobility students)
Proof of enrollment (for full-degree students in Madeira Island)
Trainees/internship confirmation (for mobility programs in Madeira Island)
Volunteer program confirmation (for international and European programs in Madeira Island)
A photo of the applicant is also required for the Card.
Members are responsible for keeping their personal information up to date throughout the validity of the Card.
Verification & Approval
The organization will verify all submitted information and documents. “The Card will only be issued once all data is verified and approved by UNCOVER Madeira Island.”Agreement to Terms
Applicants must explicitly accept these Terms & Conditions before submitting the application. Consent for the use of photos or videos for organizational purposes is considered granted upon receipt of the Card.Application Fee
The membership fee must be paid at the time of application, via online payment. The fee may be updated for new members at the discretion of UNCOVER Madeira Island.Notification of Approval
Applicants will be notified of approval via email or phone within 48 hours, excluding weekends and holidays.Incomplete or Incorrect Applications
Incomplete or incorrect applications may be rejected or delayed until all required information and documents are provided.Limit on Multiple Applications
Only one Card may be issued per member at a time.Technical Issues Disclaimer
UNCOVER Madeira Island is not responsible for technical issues during the online submission process.
Section 3: Validity & Renewal
Validity Period
The Card is valid for 12 months from the month of issuance, as stated in Section 1.New Card Requirement
Membership is not automatically renewable. Former or existing members who wish to continue their membership must submit a new application and provide updated personal information and documents as required. All documents and information must be current and accurate at the time of submission.Expiration
Upon reaching the end of its validity period, the Card is no longer valid for use and must not be used to access activities, events, or partner benefits.Early Termination or Suspension
The organization reserves the right to suspend or revoke the Card at any time in cases of misuse, violation of Terms & Conditions, or other disciplinary reasons. Members will be notified in such cases.Lost or Damaged Cards
In the event of loss, theft, or damage, members may request a replacement Card by paying an administrative fee, as stated in Section 1.Fee Disclaimer

Section 4: Usage & Benefits
Scope of Use
Members can use the Card for:Access to all events organized by UNCOVER Madeira Island
Access to exclusive member-only events
Discounts for open/public events and merchandise
Discounts or benefits offered by official partners
The Card is not a student ID, travel card, or proof of residency, and does not grant rights outside the scope of UNCOVER Madeira Island activities and partner benefits.
Partner Benefits
The Card provides discounts or offers with external partners. UNCOVER Madeira Island is not responsible for the quality, availability, or delivery of third-party services and cannot be held liable for any issues arising from their use.Event Access
The Card grants access to events organized by UNCOVER Madeira Island. Some events may be free for members, while others may have fees or event-specific conditions. Access and benefits are valid only while the Card is valid, as described in Section 3.Non-Transferability
The Card is strictly personal and may only be used by the registered cardholder. Sharing, lending, or transferring the Card is strictly prohibited and may result in termination of membership.Misuse
Any misuse of the Card, including but not limited to sharing, selling, altering, or using it for unauthorized purposes, may result in immediate suspension or revocation of membership, and the member may be required to return the Card.Changes to Benefits
UNCOVER Madeira Island reserves the right to modify, add, or remove benefits and partner offers at any time without prior notice.No Guarantee of Availability
Access to events and discounts may be subject to availability, capacity limits, or specific conditions set by the organization or partners.Responsibility Disclaimer
Members use partner services, discounts, and event benefits at their own risk; UNCOVER Madeira Island is not liable for incidents or outcomes arising from their use.
Section 5: Obligations of the Member
General Conduct
Members must follow a code of conduct at all UNCOVER Madeira Island events, including when interacting with partners. Prohibited behaviors include, but are not limited to:Harassment or discrimination of any kind
Disruptive or unsafe behavior
Illegal activities
Damage to property or misuse of facilities
Misrepresentation of membership or use of the Card for unauthorized purposes
Card Use
The Card must be used personally and not shared, lent, or altered.
Members must report any loss, theft, or damage of the Card immediately and may be required to pay a replacement administrative fee as outlined in Section 1.
Personal Information
Members are responsible for keeping their personal information accurate and up to date throughout the validity of the Card.
Members must notify UNCOVER Madeira Island promptly if their eligibility status changes (e.g., completing or leaving a mobility program).
Compliance
Members must comply with all rules and regulations of UNCOVER Madeira Island events, partner services, and applicable local laws while using the Card.
Communication & Marketing Consent
Members agree to receive communications from UNCOVER Madeira Island regarding events, benefits, updates, or other relevant information.
Members acknowledge that consent for the use of photos or videos for organizational purposes is granted upon receipt of the Card.
Responsible Use of Benefits
Members must use event access, discounts, and partner benefits responsibly and not exploit them beyond intended purposes.
Reporting Issues
Members must report any misuse by others or problems with partners/events to the organization promptly.
Termination Consequences
Failure to comply with obligations in this Section may result in suspension or revocation of the Card, in accordance with Sections 3 and 4.
Liability Disclaimer
Members participate in events and use benefits at their own risk. UNCOVER Madeira Island is not liable for incidents or outcomes arising from such participation.
Section 6: Termination & Suspension
Grounds for Termination or Suspension
A Card may be suspended or revoked for, but not limited to:Misuse of the Card (sharing, selling, altering, or using it for unauthorized purposes)
Violation of the Terms & Conditions
Fraudulent or dishonest behavior in the application or use of the Card
Criminal behavior or activities that endanger others
Other reasonable causes, at the sole discretion of UNCOVER Madeira Island, are applied fairly and consistently
Interim Suspension
The organization may impose an interim suspension of the Card while investigating alleged misconduct or violations.Notification
Members will be notified in writing (via email or phone) if their Card is suspended or revoked. Notification will be provided as soon as possible and within a reasonable timeframe from the decision.Effect of Termination
The Card ceases to be valid immediately upon suspension or revocation.
Members are required to return the Card to UNCOVER Madeira Island promptly upon termination.
Fees and Refunds
Membership and replacement fees are non-refundable, even in the case of suspension or revocation of the Card.Appeal or Reconsideration
Members have the right to appeal or request reconsideration if their Card is suspended or revoked:Appeals must be submitted in writing within 7 calendar days of receiving the notification.
UNCOVER Madeira Island will review the appeal and provide a written response within 7 calendar days of receiving the appeal.
No Liability
UNCOVER Madeira Island is not liable for any loss, inconvenience, or damages arising from suspension or revocation of the Card.Record Keeping
Records of suspension, revocation, and appeals will be kept for organizational purposes and compliance.
Section 7: Data Protection & Privacy
Personal Data Collected
The organization collects personal data necessary for issuing and managing the Card, including but not limited to:Full name, date of birth, nationality, phone, email
Proof of enrollment, acceptance letters, internship/volunteer confirmations
Photographs for the Card and organizational purposes
Other information necessary for membership management (e.g., emergency contact, program status)
Special Categories of Data
Sensitive personal data (e.g., health information) is only collected if strictly necessary for specific events or activities, with explicit consent.
Purpose of Data Use
Personal data is used solely for:Verifying eligibility and issuing the Card
Managing membership, events, and partner benefits
Communication regarding events, benefits, updates, or organizational matters
Marketing or promotional purposes (e.g., social media content, photos/videos)
Data Storage and Security
Personal data is stored securely using appropriate technical and organizational measures.
Access is limited to authorized personnel.
Measures are in place to prevent unauthorized access, disclosure, or alteration of data.
Only the minimum necessary personal data will be collected and maintained accurately.
Data Sharing & Third-Party Processors
Personal data may be shared with official partners to provide benefits or discounts.
Third-party services (e.g., payment processors, cloud storage providers) may process data on behalf of the organization.
The organization is not liable for misuse or unauthorized use of data by third parties.
Consent
By applying for and receiving the Card, members consent to the collection, processing, and use of their personal data for the purposes described above.
Consent for photographs or videos used in organizational communications is granted upon receiving the Card.
Retention Period
Personal data will be retained for the duration of membership.
Certain information may be retained for organizational records, compliance, or legal obligations after the Card expires.
Member Rights
Members have the right to:Access, correct, or request deletion of their personal data
Object to processing or request restrictions
Withdraw consent (where applicable)
Complain to a competent data protection authority

Automated Processing
No automated decisions based solely on personal data will be made regarding membership.
Data Transfers
Personal data will only be transferred outside the EU if adequate safeguards are in place, in compliance with applicable laws.
Data Breach Notification
Members will be notified without undue delay if a data breach affects their personal data.
Policy Updates
Members will be notified of significant changes to this section. Continued use of the Card constitutes acceptance of updated policies.
Section 8: Liability & Disclaimers
Scope of Liability
UNCOVER Madeira Island limits its liability for any damages or losses arising from the use of the Card, events, or partner services. This includes direct, indirect, incidental, or consequential damages to the fullest extent permitted by law.Event Participation
Participation in events, workshops, or activities organized by UNCOVER Madeira Island is at the member’s own risk. The organization is not liable for any injuries, accidents, or loss/damage to personal property that may occur during events.Partner Services
UNCOVER Madeira Island is not liable for any issues, losses, or damages arising from the use of services, discounts, or events provided by external partners.Card Misuse
Members are responsible for the safe and proper use of the Card. The organization is not liable for any damages, losses, or consequences resulting from misuse, alteration, loss, or theft of the Card.Force Majeure
UNCOVER Madeira Island is not liable for any failure or delay in providing services, events, or benefits due to circumstances beyond its reasonable control, including but not limited to natural disasters, strikes, pandemics, or cancellations.No Guarantee of Benefits
UNCOVER Madeira Island does not guarantee the availability, continuation, or specific outcomes of events, discounts, or partner benefits. Benefits are subject to change, availability, and conditions set by the organization or partners.
Section 9: Amendments & Changes to Terms
Right to Amend
UNCOVER Madeira Island reserves the right to update or modify these Terms & Conditions at any time.All changes apply to all members, regardless of when they joined.
Notification of Changes
Members will be notified of substantive changes to the Terms & Conditions through online publication on the organization’s official website and/or via email.
Minor edits (such as spelling, grammar, or formatting corrections) that do not affect members’ rights or obligations may be made without notice.
Acceptance of Updated Terms
Continued use of the Membership Card or participation in events constitutes acceptance of the updated Terms & Conditions.Members who do not accept the updated Terms may withdraw from membership, but no refund will be provided.
Effective Date
Substantive changes to the Terms & Conditions will become effective 5 calendar days after notice is provided.
Section 10: Governing Law & Jurisdiction
Applicable Law
These Terms & Conditions shall be governed by and interpreted in accordance with the laws of Portugal, with specific application of the legal framework of the Autonomous Region of Madeira.Jurisdiction
Any disputes arising from or in connection with these Terms & Conditions shall be submitted to the courts of Madeira, Portugal, with exclusive jurisdiction.Alternative Dispute Resolution
Before initiating legal proceedings, members and UNCOVER Madeira Island agree to attempt to resolve disputes through mediation.Mediation will be conducted in Madeira, following procedures agreed upon by both parties.
Costs of mediation shall be shared equally between the parties, unless otherwise agreed.
Language
The official version of these Terms & Conditions is in English.In case of any discrepancy with translations, the English version prevails..
Severability
If any provision of this Section or these Terms & Conditions is found to be invalid, illegal, or unenforceable, the remaining provisions shall remain in full force and effect.
